Understanding the Role
This position is part of UNESCO’s Division for Conferences, Languages and Documents, specifically within the Event Planning Unit. The Unit manages more than 1,000 event requests per year, ranging from high-level meetings and cultural ceremonies to conferences and official receptions.
As an Event Planning Administrative Assistant, you will be supporting the flow of event requests from beginning to end. Your work ensures that events at UNESCO’s headquarters are well-organized, compliant, and aligned with the organization’s goals.

Key Responsibilities
The role includes a mix of customer-facing, administrative, and operational tasks:
1. Client Information & Marketing
- Respond to inquiries from internal and external clients about event procedures, pricing, rules, deadlines, and space availability.
- Facilitate on-site visits for prospective clients and guide them through UNESCO’s event spaces.
- Recommend event packages and create preliminary cost estimates using the organization’s pricing system.
- Assist in preparing promotional materials such as brochures, flyers, and internal communication content to support venue-hire marketing.
2. Administrative Event Support
- Review event request applications to ensure completeness and compliance before they move to the approval stage.
- Coordinate the approval workflow and confirm that each event aligns with UNESCO’s mandate and due diligence requirements.
- Track the progress of each event request, maintain the master event list, and produce weekly updates for internal teams.
- Draft, review, and distribute official correspondence in both English and French.

Who Can Apply?
Candidates must have:
- A university degree
- At least two years of professional experience in event management
- Proficiency in Word, Excel, Outlook, Teams, and general internet tools
