About the Role
Under the supervision of the Head of Implementation Support, the Administrative Assistant will provide comprehensive administrative, secretarial, and coordination support related to the implementation of IMO instruments. This includes work connected to port State control, flag State implementation, casualty investigation, and technical cooperation activities.
The role is dynamic and multifaceted, requiring a high level of organization, accuracy, and adaptability. The successful candidate will support day-to-day operations, manage data and documentation, assist with meetings, and help ensure the smooth delivery of IMO’s technical cooperation programmes.

Key Responsibilities
The Administrative Assistant will handle a wide range of duties, including managing correspondence, maintaining records and databases, updating websites, and organizing official travel in line with UN procedures using SAP systems. The role also involves providing secretarial support for IMO meetings, including preparing documentation, coordinating logistics, and ensuring timely dissemination of finalized materials.
A significant aspect of the role includes data management and research, such as reviewing external data sources, supporting GISIS modules, and assisting with analytical and statistical data extraction. The incumbent will also liaise with the International Labour Organization (ILO) on maintaining the ILO/IMO Joint Database on Abandonment of Seafarers.
In addition, the role provides administrative support for training and technical cooperation activities, including coordinating participant travel, managing consultant contracts, tracking reports, processing financial transactions through SAP, and maintaining accurate records in line with established procedures.
Required Profile
Applicants must have at least five years of experience in an administrative role, with experience in the UN or other international organizations considered a strong advantage. Exposure to technical cooperation, project management, or meeting support is highly desirable.
Candidates should be self-motivated, detail-oriented, and capable of managing multiple tasks under pressure. Strong written and verbal communication skills in English are essential, while knowledge of other UN languages is an asset. Proficiency in MS Word, Excel, PowerPoint, and general database management is required, and familiarity with SAP is highly advantageous.
