Role Overview and Key Responsibilities
The Assistant and Information Management Officer works within the Internal Audit unit, supporting teams located in Manila, Geneva, and field offices. The role combines high-level administrative support with structured information management, making it ideal for candidates who are highly organized and detail-oriented.
Approximately 80 percent of the role focuses on administrative and secretarial support. Key responsibilities include coordinating meetings and calendars, organizing travel arrangements such as flights and visas, and handling correspondence and follow-ups. The officer also assists with preparing documents, processing consultancy contracts, managing invoices, and conducting background research to support audit activities. In addition, the role involves supporting onboarding processes for new staff members, ensuring they receive proper briefings and access to relevant systems and documentation.
The remaining portion of the role centers on information management. The officer helps maintain shared digital platforms and internal databases, ensuring that records are accurate, well organized, and easy to retrieve. This includes managing collaborative workspaces, supporting updates to internal information pages, and helping implement information management standards and procedures within the unit. These responsibilities are essential to maintaining consistency, compliance, and efficiency across internal audit operations.
