Role Purpose
The Assistant and Information Management Officer plays a pivotal role in supporting internal audit management and staff across Manila, Geneva, and field operations. Based in the MSSC and working closely with the Executive Assistant and Information Management Officer in Geneva, this position ensures coherent administrative and information management practices and serves as a reliable backup during the EAIMO’s absence.
Key Responsibilities
Administrative Support (Major Focus)
A significant part of the role (approximately 70%) centers on administration and coordination. The officer:
- Manages calendars and supports scheduling for internal audit leadership and team members.
- Organizes travel, visas, accommodation, and mission logistics, ensuring smooth itineraries for staff.
- Assists with drafting, proofreading, formatting, and finalizing documents in Word, Excel, and PowerPoint to ensure professional presentation and compliance with organizational standards.
- Handles correspondence, flags issues and delays, and conducts documentary research to support unit needs.
- Coordinates recruitment and onboarding, interacts with HR for administrative procedures, updates organizational charts, and manages announcements.
- Contributes to planning and monitoring of unit objectives and budgets, and follows up on expenditures when needed.
Information Management
The officer actively supports the implementation and development of information management tools and practices:
- Contributes to information management projects, records management initiatives, and the development of reference tools like SharePoint and collaborative spaces.
- Helps maintain coherent information flows, ensures staff understand and apply policies and procedures, and supports updates of internal communication platforms.
- Works with standard information-sharing systems to enhance unit efficiency.
Support to MSSC Team in Manila
In addition to global support, the role includes key administrative tasks for the MSSC team in Manila:
- Organizing meetings, preparing documentation, coordinating logistics, tracking deadlines, and taking minutes when required.
- Managing office supplies and equipment, prioritizing incoming requests, and following up on correspondence.
- Receiving visitors, handling secretarial duties such as printing, scanning, mailing, and ensuring maintenance service follow-ups where necessary.
Qualifications and Skills Needed
To succeed in this role, candidates should possess:
- A university degree or equivalent training and experience.
- At least three years of experience as an assistant in an international organization or similar environment.
- Advanced computer skills, especially in Microsoft Office and SharePoint.
- Excellent command of English, both verbal and written.
- Strong organizational, multitasking, analytical, and communication skills, with the ability to work under pressure independently or as part of a team.
