1st Internship


JOB TITLE
: Fleet Management Support Service (FMSS) Intern

JOB CONTRACT/GRADE: Internship

DURATION: 6 months 

JOB LOCATION: UAE, DUBAI

Role and Responsibilities:

Under the leadership of the Head of Fleet Management Support Service, and with direct supervision of the MSDF Officer within the Fleet Centre of the Management Services Division the intern will benefit from close mentoring, guidance, and technical supervision. Performance planning and reviews as well as learning and development discussions will be an elemental part of the internship experience. With the support of a comprehensive induction package and some exciting soft-skills trainings, the intern will rapidly become a productive member of the team.
 

  • Generate and distribute user profiles as part of the Fuel App Implementation Project.
  • Guide and assist FMS user requests, navigating them through WeLearn FMS Trainings and certification processes.
  • Create and manage Driver/Staff records within FMS.
  • Conduct data cleansing to enhance FMS data quality, updating missing key fields in the Assets and other Master databases.
  • Update VTS master data records based on validation reports, monitoring timely activation and deactivation of VTS units.
  • Support with the Fleet Optimization team to oversee the implementation of fleet optimization recommendations in country offices.
  • Support other members of the FMSS team as requested by the supervisor.

Education:

  • Currently enrolled in or recently graduated from a recognized university or related university program, preferably in Data Science, Computer Science, Information Systems or Technology related.
  • WFP interns are required to have completed at least two years of their university programme or, if fresh graduates, they should have attended classes in the past 12 months;

  • Proficient in computer systems and programs.
  • Strong report writing, data analysis, communication, and coordination skills.

  • Fluency in English language.
  • Knowledge of Arabic and French languages is a plus.

  • Have developed effective action management, customer services, reporting, and communication skills relevant to Fleet Management.
  • Have a general understanding of WFP overall operations and activities in the country office, region, as well as Headquarters.

2nd Internship

JOB TITLE: HR Intern

JOB CONTRACT/GRADE: Internship

DURATION: 6 months

REPORTING TO: HR Focal Point 

EXPECTED START DATE: June 2024

Role and Responsibilities:
 

Under the leadership of the Head of ISU, and with direct supervision of the Senior HR Associate the intern will benefit from close mentoring, guidance, and technical supervision. Performance planning and reviews as well as learning and development discussions will be an elemental part of the internship experience. With the support of a comprehensive induction package and some exciting soft-skills trainings, the intern will rapidly become a productive member of the team.
 

  • Support various Talent Management Initiatives like WFP’s internship programme or national Emirati talent programme with administration of training events, reporting on the programmes and communication with the participants and the other stakeholders involved.
  • Support in content development and design of induction package to ensure a comprehensive and welcoming induction for new joiners in the Dubai Office. 
  • Administer, coordinate the delivery of internal training activities and workshops to ensure successful roll out. Carry out analysis and deliver reports on the satisfaction of participants and the effectiveness of these initiatives.
  • Research and data collection on various HR topics as required.
  • Provide technical and administrative support in HR projects as required.

Role Requirements:

  • Currently enrolled in or recently graduated from a Business Administration, Human Resources, Psychology, Data Science, Information and Communication Technology or related university program. WFP interns are required to have completed at least two years of their university programme or, if fresh graduates, they should have attended classes in the past 12 months;
  • Strong report writing, data analysis and communication skills.
  • PowerPoint design skills are a plus.

JOB TITLE: Logistics Intern

JOB CONTRACT/GRADE: Internship

Role and Responsibilities:
 

Under the leadership of the Hub Manager and with direct supervision of the Unit Head of Logistics the intern will benefit from close mentoring, guidance, and technical supervision. Performance planning and reviews as well as learning and development discussions will be an elemental part of the internship experience. With the support of a comprehensive induction package and some exciting soft-skills trainings, the intern will rapidly become a productive member of the team.

  • Prepare logistics documentation (i.e. creating work orders, draft packing list and delivery advices for out-bound shipment).
  • Assist in the tendering process and tenders’ analysis
  • Liaise with Freight Forwarders for out-bound shipment execution.
  • Follow-up on requests with local authorities, support for drafting requests to IHC, MoH and MOFA.
  • Monitor food shelf life and expiring date of medical items and follow-up disposal process of expired items
  • Prepare a concept note for one or two innovative Supply Chain Projects that would leverage the UAE know-how in terms of technology, AI, digitization and meet the humanitarian needs

JOB TITLE: Procurement Intern

Role and Responsibilities:
 

Under the leadership of the Domain Manager, and with direct supervision of the Category Manager the intern will benefit from close mentoring, guidance, and technical supervision. Performance planning and reviews as well as learning and development discussions will be an elemental part of the internship experience. With the support of a comprehensive induction package and some exciting soft-skills trainings, the intern will rapidly become a productive member of the team.


Key Responsibilities:

  • Assist in preparing and reviewing procurement documents (RFPs, RFQs, and bidding documents).
  • Support the evaluation of supplier proposals and bids.
  • Assist in contract management activities, including monitoring performance and compliance.
  • Participate in meetings related to procurement processes and provide support as required.
  • Contribute to the development and maintenance of procurement databases.
  • Prepare a concept note for one or two innovative Procurement Projects that would leverage the UAE know-how in terms of technology, AI, digitization and meet the humanitarian needs


Deliverables:

  • Weekly progress reports outlining completed tasks and challenges faced.
  • A final report summarizing the overall internship experience, lessons learned, and recommendations for process improvement.


Supervision and Support:

  • The intern will report to WFP Dubai Office Procurement Officer
  • Regular check-ins to discuss progress, challenges, and provide guidance.


Evaluation:

  • Performance will be evaluated based on completed tasks, initiative, and overall contribution to the procurement team.

Under the leadership of the Chief of the Global Operational Support Centre, and with direct supervision of the Vendor Management Focal Point the intern will benefit from close mentoring, guidance, and technical supervision. Performance planning and reviews as well as learning and development discussions will be an elemental part of the internship experience. With the support of a comprehensive induction package and some exciting soft-skills trainings, the intern will rapidly become a productive member of the team.

  • Market Research: Conduct research to identify potential vendors/suppliers and compile a list of their contact information and basic details.
  • Supplier Communication: Communicate with suppliers to request information and provide clarification on the vendor registration process.
  • Documentation and Record Keeping: Manage and organize supplier documentation. Follow up with new suppliers on document collection and address any issues that may arise.
  • Report Generation: Generate reports on supplier performance on tenders and deliveries.
  • Prepare a concept note for one or two innovative Vendor Management Projects that would leverage the UAE know-how in terms of technology, AI, digitization and meet the humanitarian needs


Role Requirements:

  • Currently enrolled in or recently graduated from a university program in Business Administration, Commerce, Supply Chain Management or related university program.
