ROLES AND RESPONSIBILITIES:

The Senior Program Assistant’s primary responsibility is to provide high quality administrative and operational support to the HQ CN6L2 office. 

Duties and responsibilities include but are not limited to the following:

•  Provide a wide range of office support to the LAC Infra regional team and management to make a significant contribution to the achievement of the unit work program.
•  Manage the team’s travel, calendar, and day to day requests. Troubleshoot when required.
•  Organize travel arrangements and logistics, working closely with Amex and, as necessary, liaising with country offices and external parties.
•  Support all administrative requests, such as office supplies orders, staff directory changes, email distribution lists, visitor’s passes, videoconferences, and Webex/Teams meetings.
•  Provide guidance and answer general queries from staff, managers, and consultants about IFC/WBG procedures and any request to facilitate links between colleagues in Country Offices, HQ, and other Bank counterparts.
•  Assist in updating and maintaining iPortal, Sharepoint and OneDrive repositories for tracking, e-filing, and archiving system, applying the appropriate record retention policies.
•  Adept handling critical files and confidential material with discretion following the WBG Access to Information policy.
•  Provide backup support to other ACS staff during absences and peak periods.

Selection Criteria

•  High school diploma with 7 years of experience or equivalent combination of education (Bachelor’s degree) and experience.
•  Previous work experience in a broad range of secretarial, administrative, logistics and finance duties.
•  Outstanding administrative and organizational skills, self-motivated and reliable. 
•  Excellent English and Spanish skills, verbal and written, including ability to draft correspondence and proofread/edit materials and ability to interact with stakeholders at all levels. 
•  Strong computer skills and good knowledge of relevant software applications and IFC systems (Word, Excel, PowerPoint, iDesk, iPortal, Webex, Admin Portal, SAP, etc.)
•  Familiarity with IFC policies and procedures. 
•  Effective time management and organizational skills.
•  Ability to produce high-quality work under pressure.
•  Self-starter, who pays attention to detail, is well-organized, focused, and works with minimal supervision.
•  Demonstrated orientation to towards teamwork and adaptability in working across teams to deliver expected work-product. 
•  Excellent interpersonal skills, with a high degree of tact and judgment, to deal effectively with staff at all levels across the World Bank Group as well as high-level external contacts.
