Program Overview

Immigration Office Assistant perform administrative duties for the immigration program, including receiving and screening phone calls and emails, communicating with clients about their appointments and cases, and utilizing and maintaining program databases.

Immigration Office Assistant Responsibilities:

  • Other duties as assigned;
  • Prepare letters and other documents on behalf of the employer/client;
  • Retrieve and/or return files;
  • Run reports to assist in managing own caseload;
  • Files and monitors applications and petitions with appropriate government agencies;
  • Photocopies, faxes and document scanning;
  • Finalize documents after review by Practice Manager, Team Manager and/or Attorney;
  • Drafts support statements and organizes documentations for filling;
  • Collaborate with manager and the legal team to facilitate cases and meet monthly filing goals;
  • Update database(s) and utilize case preparation/management tools effectively and efficiently;
  • Provide information and assistance to clients regarding legal procedures (NOT legal advice);
  • Ensure deadlines are met;
  • Coordinate with clients to gather required information;
  • Address envelops and package.

Immigration Office Assistant Requirements:

  • Superb organizational skills;
  • Strong attention to detail and accuracy;
  • Ability to follow instructions and action independently;
  • Able to learn and effectively implement new processes quickly;
  • Strong computer skills;
  • Excellent English language skills, both spoken and written;
  • Exceptional customer service and interpersonal skills;
  • Ability to manage heavy case-load and work within strict timelines;
  • Able to walk and climb stairs or use elevator to coordinate with other departments;
  • Able to maintain a sedentary position for up to 90% of the workday;
  • Ability to receive and analyze information;
  • Able to bend, stoop, kneel and/or stand to access files and documents;
  • General computer knowledge and typing skills, including word-processing, email, and forms software;
  • Ability to proofread and edit one’s own work product;
  • MS Office, Scan/Copy; learns to effectively utilize VB and Cobalt.

Office Assistant

Job Description

Can-X Immigration is looking for a self-motivated Office Assistant to join our team. The ideal candidate will be comfortable working in a team environment and able to multi-task in a fast-paced environment. This position will be responsible for assisting the Operations Manager with daily office needs and ensuring that tasks are completed accurately and efficiently. This position will also be responsible for assisting the Operations Manager with special projects as needed.

Duties and Responsibilities

  • Prepare immigration applications, including downloading and accurately filling norms, preparing additional information and gathering supporting documents as per the specific immigration programs, mainly the Work Permits, LMIA applications, Visitor Visa, Supervisa, BCPNP, Express entry etc.
  • Accurately collect client’s information and enter data into our system.
  • Prepare correspondence, reply to emails.
  • General office duties: filing, scanning, copying, emailing, etc.
  • Other related duties as required.

Skills and Qualifications

  • Bachelor Degree
  • Knowledge of Microsoft Office applications (Word, Excel, Outlook) and Google Drive etc .
  • Excellent time management skills with the ability to multi-task, prioritize, and manage time effectively.
  • Attention to detail with excellent written and verbal communication skills.
  • Previous experience working with an immigration firm would be an asset.
  • Excellent English Communication Skills.
  • Proficient with Microsoft Office, power point and other software use

Job Type: Full-time

Salary: $18.00-$22.00 per hour
