Duties and Responsibilities:

Ensure the effective and efficient functioning of the administrative processes of the Country Office, focusing on the performance of the following functions:

  1. Provide administrative support to the Head of the Country Office, ensuring the efficient operation of the office.
    • Manage the agenda, arrange and confirm appointments for the Head of the Country Office; take minutes and notes as required.
    • Draft correspondence, transcribe and/or translate documents and reports, ensuring accuracy and quality.
    • Control all incoming communications, filter and record incoming and outgoing correspondence of the office, following the protocol and guidelines established within the organization.
    • Collect information and prepare presentations required by the Head of the Country Office.
    • Coordinate the flow of information within the office and facilitate corporate communication and communication between offices for staff as needed.
    • Prepare, monitor, and follow up on information required by the Regional Office and/or the United Nations System in the country.
    • Monitor the implementation of the office’s work plan.
    • Maintain records of agreements, memoranda of understanding, and other relevant documents, and support their implementation when required.
    • Monitor compliance with reporting commitments to donors.
    • Assist in the logistical coordination of office events and/or partners as required.
    • Monitor operational plans and project execution carried out in the Office.
    • Compile relevant information for the delivery of periodic internal and external reports.
    • Perform any other function inherent to program management as required.
  2. Provide administrative support to the Operations area:
    • Complete the required training for providing transactional roles under your responsibility.
    • Carry out minor procurement processes required for the Office in accordance with applicable rules.
    • Manage travel requests from Office personnel, complying with regulations and established deadlines.
    • Develop the logistics required for Office events, from planning to execution and closure of processes.
    • Manage the petty cash in line with the organization’s rules and procedures.
    • Serve as the focal point for Human Resources for the Office: Monitor staff recruitment and hiring, update personnel records and compliance with obligations, update personnel files, ensure compliance with applicable staff policies and norms, among others.
    • Serve as the alternate focal point for Finance processes for the Office: Review supporting documents and make required payment requests for the Office. Monitor commitments charged to the Office’s cost center. Prepare financial reports, among others.
    • Serve as the alternate focal point for security for the Office.
    • Support the monitoring and tracking of contracts, payments for services, and maintenance of Office facilities.
    • Act as a liaison between Programs and Operations on administrative, financial, and logistical matters as required.
    • Maintain control of meeting rooms in UNODC.
    • Keep relevant databases of information for the office up to date.
    • Perform any other activity or function required within the framework and level of responsibility of the position.

Required Skills and Experience:

Education:

Experience:

  • Minimum of 5 years of progressive experience in administrative or programmatic assistance, local or international logistical support.
  • Desirable experience in transactional processes using ERP platforms.
  • Desirable but not essential experience in protocol management.
  • Desirable but not essential experience in United Nations agencies and/or Development Cooperation Agencies.
