Duties and Responsibilities:

The Sr. Program Assistant is the sole administrative support position for the Secretariat. They are responsible for providing specialized assistance at the unit level in various areas, including:

  1. Office Administration: Providing general office support to the Executive Secretary and other unit staff, including coordination with other WBG units, document/information management, drafting/editing correspondence, managing calendars and appointments, scheduling meetings and events, and following up on key actions and deliverables.
  2. Case Management: Taking primary responsibility for timely and accurate electronic filing of correspondence and case submissions, supporting staff in managing cases before the Sanctions Board, drafting and sending correspondence, and assisting in administering the electronic Case Management System.
  3. Outreach and Event Planning: Supporting outreach efforts to communicate the role of the Sanctions Board, maintaining internal and external websites, preparing communication and outreach materials, coordinating events and training, and assisting with presentations and materials.
  4. Knowledge Management and Database Management: Researching and performing statistical analysis of data, ensuring accurate and up-to-date information, and maintaining databases and document management systems.
  5. Budget Monitoring: Serving as the unit’s liaison with Resource Management on expense tracking and submissions, handling budget and procurement related tasks, and assisting with travel arrangements and payment requests.
  6. Collaborating and Interacting: Interacting with internal and external counterparts, including Sanctions Board members, parties and their representatives, Executive Directors’ offices, Senior Management, and other relevant units across the WBG, and handling responsibilities with accuracy, speed, discretion, and good judgment.

The Sr. Program Assistant will work closely with the Executive Secretary and other Secretariat staff, performing tasks assigned by them or other unit staff. They must be able to work independently when appropriate and under close supervision or collaboration as needed.

Selection Criteria:

The Sr. Program Assistant should meet the following criteria:

  1. Education: Bachelor’s degree (BA/BS). A paralegal certificate is a plus.
  2. Experience: A minimum of 3 years of relevant professional experience, preferably including experience as a paralegal or previous Bank administrative experience. Knowledge of Bank processes and procedures is preferred.
  3. Skills: Highly organized, dependable, and attentive to detail. Ability to think critically, deliver timely and high-quality work on multiple concurrent assignments, and handle complex documentation matters. Proficiency in MS Word, Excel, and PowerPoint, with website-building and maintenance capabilities being useful. Experience with database and document management systems.
  4. Communication: Excellent written and verbal communication skills. Ability to deal sensitively with highly confidential documents and work in multicultural environments. Established reputation for integrity, sound judgment, fairness, and discretion.
