Scope of Work:

  1. Support the project team to ensure effective project planning and implementation focusing on the achievement of the following results:
    • Compile, summarize, and present basic information/data on specific project and related topics or issues.
    • Implement project standard operating procedures in line with government and UNDP regulations.
  2. Support the effective reporting on the progress of project implementation by:
    • Assisting in preparing annual and quarterly work plans, project board meetings, audits, and financial closures.
    • Supporting the preparation of quarterly project reports and presenting them to the project assurance team in a timely manner.
    • Providing administrative support for the preparation of results-oriented progress reports.
  3. Provide administrative support to the Project Management Unit, including:
    • Assisting in administrative actions such as recruitment, travel arrangements, training, payments, procurement, and security compliance.
    • Offering general office assistance, including responding to information requests, reviewing and routing correspondence, maintaining files/records, and organizing meetings.
  4. Support strategic partnerships, communication, and resource mobilization by:
    • Updating the database of relevant public and development partners, private sector, civil society, and other stakeholders.
    • Assisting in documenting project activities to communicate results, engage stakeholders, and mobilize resources.
  5. Support knowledge building and sharing by:
    • Participating in training for operations/projects staff.
    • Contributing to knowledge networks and communities of practice.
  6. Ensure adherence to ethical principles and inclusivity by:
    • Prioritizing human rights and gender equality in all actions.
    • Designing and implementing activities in line with social and environmental standards.
    • Respecting diversities and considering the differentiated needs of women and men.
    • Creating an inclusive approach and providing accessible setups for diverse individuals.

  7. Perform other duties within the functional profile as necessary for the efficient functioning of the Office and the Organization.

Minimum Qualifications of the Successful NPSA:

  • Secondary education is required.
  • A university degree in finance, public health, administration, management, social studies, or related fields is desirable, but not mandatory.
  • Minimum 4 years of professional experience in administrative tasks (with High School) or 1 year (with a bachelor’s degree).
  • Fully computer literate (MS Office).
  • Demonstrated interest in the work of the UN.
  • Ability to interact successfully with individuals from different cultural backgrounds and beliefs.
  • Good interpersonal skills.
  • Full-time availability for project management support duties is essential.

Desired additional skills and competencies:

  • Experience working with Government and UN/UNDP procedures.
  • Proficiency in spreadsheet and database packages.
  • Experience in collecting administration reports.
  • Previous experience supporting team travel and procurement management.
  • Experience in managing databases, especially those relevant to public and development partners, the private sector, and civil society.

Required Languages:

  • Fluency in English is required.
  • Fluency in Bahasa Indonesia is required.
