Responsibilities:

The Programme Assistant will have the following responsibilities:

  • Provide assistance in planning and implementing activities for the DPPA extra-budgetary projects in the Asia and the Pacific Division, including organizing project events and initiatives.
  • Act as a focal point for coordinating and monitoring the implementation of programme/projects, including managing key project events and making necessary arrangements such as travel, logistics, and consultancy recruitments. This involves liaising with different units to initiate requests, prepare terms of reference, obtain clearances, and follow up on administrative actions.
  • Conduct research, compile, analyze, summarize, and present basic information and data on specific programmes/projects.
  • Assist in coordinating programme/project planning and the preparation of extra-budgetary projects, monitor the status of project proposals, and ensure timely submission to relevant parties for approval.
  • Assist in preparing and analyzing programme/project budget proposals, interpret budget guidelines, review and coordinate submissions, and prepare reports on budget revisions, expenditures, and obligations.
  • Support the monitoring and evaluation of programmes/projects, update and analyze data related to programmes/projects, conduct periodic status reviews, and initiate necessary follow-up actions.
  • Draft programme/project summaries, coordinate review processes, and assist in the finalization and publication of reports in multiple languages.
  • Maintain files, databases, and internal records, and generate reports, statistical tables, and other materials as required.
  • Draft correspondence and communications related to programme/project administration, work plans, budgets, and other related issues.
  • Provide guidance and training to new/junior staff.
  • Perform other duties as assigned.

Work Experience:

  • Seven years of experience in programme or project administration, technical cooperation, or a related area is required. The minimum requirement is reduced to five years with a first-level university degree or higher.
  • Experience in preparing and/or implementing extra-budgetary projects is required.
  • Experience in supporting teams in mandated and/or programmatic activities is desired.
  • Experience with internal travel certification processes is desirable.

Languages:

  • Fluency in English is required.
  • Knowledge of another official United Nations language is an advantage.
