Responsibilities:

The Staff Assistant will have the following responsibilities:

  • Independently performs a wide range of office management and administrative support functions.
  • Maintains effective communication with the Executive Office and senior officials in other units to coordinate ongoing programs and administrative matters. Monitors and manages processes and schedules related to the unit’s outputs and tasks.
  • Facilitates smooth information flow within the unit, handles confidential information, and assists in developing office administrative systems and procedures.
  • Conducts research, compiles, and summarizes background materials for the Assistant Secretary-General’s official missions and other relevant purposes.
  • Assists in coordinating meetings, special projects, and events.
  • Provides orientation to new staff on administrative procedures and practices.
  • Attends meetings and press briefings, takes notes, and monitors follow-up activities.
  • Assists with the unit’s extra-budgetary funds projects, including submissions, revisions, and tracking.
  • Initiates, monitors, reviews, and follows up on actions related to the unit’s human resource activities.
  • Assists in preparing presentation materials using appropriate technology/software.
  • May provide specialized support to the unit, such as technology support.
  • Manages calendars/schedules, communicates changes to relevant staff, both within and outside the immediate work unit.
  • Performs various administrative duties, including recording leave, organizing meetings, making reservations, ordering office supplies and equipment, and processing administrative requests/documents (e.g., travel requests, expense claims, vouchers, visa applications).
  • Maintains both paper and electronic files and databases for the work unit.
  • Performs any other duties as assigned.

  • Performs a wide range of office management and administrative support functions, such as coordinating leave plans, organizing meetings, making reservations, and ordering office supplies and equipment.   • Responds to or drafts responses to a wide range of correspondence and other communications.
  • Handles complex information requests and inquiries, including conducting file searches when necessary.
  • Assists in preparing presentation materials using appropriate technology/software.
  • Provides specialized support to the team, such as technology support, editing, and desktop publishing.
  • Monitors changes and communicates relevant information to appropriate staff within and outside the division, including updates on countries and field missions under the team’s purview.
  • Maintains both paper and electronic files and databases for the team.
  • Performs any other duties as assigned.
