Responsibilities:

Supply:

  • Assists senior staff in managing major services contracts.
  • Maintains a database for monitoring mission-specific and Systems Contracts reports.
  • Acts as a focal point for producing cost estimates for field missions.
  • Updates shared folders with necessary contract and invoice documentation.
  • Manages supply requisitioning and delivery processes.
  • Records contract actions and monitors activity, including coordinating delivery schedules, verifying invoices against reports, and tracking contract status.
  • Maintains records of procurement thresholds for each contract.
  • Initiates requisitions, records deliveries and expenditures, and liaises with missions on receipts and associated actions.
  • Acts as a focal point for inventory management and physical verification of assets at the office.

Transport:

  • Manages and maintains records of the direct provisioning process.
  • Establishes and maintains a reference library.
  • Coordinates and monitors invoices related to refilling fuel for vehicles.
  • Collaborates with missions on spare parts consumption rates and usage patterns.

General:

  • Prepares Shopping Carts and Service Entry Sheets in the Umoja system.
  • Reviews cost estimates for budget formulation.
  • Monitors budget estimates and reports on funding allocations.
  • Maintains and updates a computer database to record requisition details, purchase orders, deliveries, and invoice actions.
  • Familiarizes new staff with work requirements, UN guidelines, and office procedures.
  • Assists staff with the issuance or renewal of residency permits.
  • Performs other duties as required.
