OBJECTIVES OF THE PROGRAMME

The HQ Operations Support & Logistics team (OSL) is part of Strategic Health ​Operations​ (SHO), division of Emergency Response (WRE), WHO Health Emergencies Programme (WHE).

The mission of WHE is to build the capacity of Member States to manage health emergency risks and, when national capacities are overwhelmed, to lead and coordinate the international health response to contain outbreaks and to provide effective relief and recovery to affected populations.

The objective of the Strategic Health Operations Department is to ensure the establishment of strong emergency management system at all three levels of the Organization (based on incident management), implementation of operations and services according to agreed standards, and availability of a strong logistics and operational support capacity. The Department prioritizes support to the most vulnerable and low capacity countries.

DESCRIPTION OF DUTIES

– Manage the data entry of incoming and outcoming products in OSL warehouses into WHO ERP (GSM) inventory system (GIMS) to capture a high degree of essential data including; the item code, description, quantity, batch, expiry, lot number allow for proper tracking and space management.

– Perform appropriate correction if required in collaboration with BOS/OSS/AMG team and provide complete set of documents to support the required correction.
– Oversee the appropriate documentation amendment required by the warehouses team to enable pick and pack activities.
– Maintain an internal tracking database to monitor the status of all instruction shared with the warehouse team though OPR (Order Preparation Requests).
– Ensure that a correct funds recovery process is triggered by instructing AES team with final version of OPR, ensuring completion of all mandatory information, including PTEAO and detail of cost recovery requirement.

– Perform administrative task in relation to stockpile management such as drafting of routine correspondence, drafting of Memorandum, initiation of GSM obligating document (LoA, GES…) and Purchase requisition.
– Monitor and report regularly to the emergency team, drawing their attention to needs, gaps and problems, and proposing remedial actions.
– Perform other related duties as required or instructed, including providing support to other areas of work as assigned.

REQUIRED QUALIFICATIONS

EDUCATION

Essential: Completion of secondary school education or equivalent.

EXPERIENCE

Essential: At least 5 years of relevant experience in warehouse, stockpile tracking and/or management, or other experience directly relevant to this position.
Desirable: Relevant experience in WHO or another UN agency. Experience in Oracle-based or other ERP systems. Experience in managing stockpiling of health commodities.

SKILLS

– Sound skills in utilizing Enterprise Resource Planning Oracle systems or similar packages. 
– Strong computer skills in office applications, including Excel, PowerPoint and Word.
– The incumbent maintains and updates proficiency in the use of modern office technology through in-house courses, on-the-job training or self-training.

REMUNERATION

WHO offers staff in the General Services category an attractive remuneration package, which for the above position includes an annual net base salary starting at CHF 77,571 (subject to mandatory deductions for pension contributions and health insurance, as applicable) and 30 days of annual leave.
